Located in Gainesville, Florida, Alachua County Public School District consists of 44 schools, with 1,800 teachers and 30,000 students. The district began using TeacherWallet, a ClassWallet solution, in January of 2019.

Challenges

Resources are limited for public schools. With funding challenges and mandates coming from the state legislature, Florida’s public school budgets are under a tight squeeze to do more with less. Alachua County Public School provides some direct funds to teachers for purchasing classroom supplies. Previously this money was distributed to teachers and receipts were collected manually with staff time going towards logging and auditing receipts. The process was time- consuming, labor-intensive and a bookkeeping nightmare.

It was challenging for Alachua County Public Schools to distribute the state-sanctioned dollars to all 1,800 teachers through either direct checks or via payroll. In addition, administrative staff found they were wasting hours collecting receipts, while teachers were losing valuable time tracking and submitting their receipts. The district also needed a means for purchasing classroom supplies through multiple channels of approved vendors.

When the IRS began auditing neighboring districts, Alex Rella, Assistant Superintendent of Business Services, knew Alachua County Public Schools needed to find a more efficient solution and to create a culture of accountability amongst its staff.

When the COVID-19 pandemic hit, teachers were forced to quickly transition to virtual and hybrid teaching. This had
a significant negative impact on morale. Educators now faced the additional challenge of creating a home office environment with supplies while pivoting and adapting to a new way of teaching.

TeacherWallet is a pre-paid virtual wallet that enables teachers to make retail store and online merchant day-to-day purchases through a simple, convenient mobile or desktop user interface and affords maximum control and fraud-risk mitigation for organizations in a completely paperless, cashless and automated manner.

With TeacherWallet successfully implemented before the brink of the COVID-19 pandemic, Alachua County Public Schools
was able to pivot very quickly to address teachers’ needs and low morale. The district re-allocated funds that were initially meant for field trips and distributed it to teachers via the TeacherWallet platform. Teachers were then able to toggle the school’s address to their home address and purchase supplies to create their home offices. This was appreciated by staff members across the district and helped ease the transition from traditional brick-and-mortar to virtual/remote teaching.

Impact

The initial implementation of TeacherWallet was a great success and continues to play a vital role for the district today. TeacherWallet saved Alachua County Public Schools hundreds of hours of bookkeeping time. It provided the district with control and convenience without the hassle of seemingly never-ending paperwork. The paperless, cashless and automated platform created a culture of accountability where teachers were able to easily track their purchases without rounding up receipts. Now, classroom supplies funds are fast to access and easy to utilize.
